Location – Birmingham
Salary – £21000 to £25000 DOE Plus Benefits

Overview

First Military Recruitment is working in partnership with our client to recruit a Team Administrator to join their team in Birmingham.

The role

the purpose of the role is to provide administrative support to Building Consultancy teams, including surveyors, client accountants and facilities managers. Dealing with Client, tenant and contractor queries in an effective and polite manner and ensuring that a first class service is maintained at all times. You will be accomplished in preparing reports, office management and administration.

Essential duties will include

  • Managing team diaries, arranging internal and external meetings, including organising lunches, travel arrangements and hotels where required
  • Maintaining an efficient electronic filing system by ensuring that the filing of documents is kept up to date, creating new files, scanning and archiving document and saving documents to the shared drive
  • To identify, co-ordinate and implement projects to improve efficiencies within the team
  • To take responsibility for collating and presenting team data on a regular basis for review with team leaders at team meetings
  • Taking detailed meeting minutes for circulation.
  • Answering the telephone in a courteous and helpful manner including overflow calls from reception and assisting with Client, Tenant and Contractor queries where possible
  • Setting up inspections including EPC inspections, FRA and Health and Safety inspections, valuations and insurance inspections
  • Updating contacts databases on a regular basis

The ideal candidate must have

  • Excellent organisational skills
  • Strong interpersonal skills, capable of communicating at various levels
  • Effective PC skills, including working knowledge of Microsoft and Google packages
  • Pro-active, flexible attitude to changes in the company, IT systems and the role
  • Fast and accurate typing skills
  • Able to use own initiative
  • Attention to detail and ability to prepare accurate and timely reports
